Scheduled B2B meetings at events

Emisar schedules B2B meetings at conferences, trade fairs and business brokerage events. The organizer opens networking windows with time slots and tables, and participants request 1:1 meetings, propose two times and get a confirmation with the table reserved. The organizer decides who may ask whom, how many requests each person has and when they expire.

Windows, time slots and tables

The organizer opens one or more networking windows. Each window is split into time slots, 15 minutes by default, and when a meeting is confirmed the app assigns a free table.

Who can request meetings, and how many

The organizer sets who may request meetings with whom, by role: attendee, speaker, exhibitor. A refusal says why, and a simulator shows the rule before the event.

  • A cap on requests sent and received per participant
  • Unanswered requests expire under the chosen rule
  • Hidden profiles receive no requests

From request to meeting

The requester proposes two times; the other person picks one and the other is released. Nobody can have two meetings in the same slot, and no table can be booked twice.

A report for sponsors and the next edition

The report shows how many meetings were proposed, confirmed and declined, and how many had no-shows. In Excel, the meetings sheet shows who met whom, when and at which table.

Pricing

Scheduled B2B meetings are included in the Free plan for events of up to 500 participants. The Pro plan adds exhibitors with contact scanning at the stand and door staff, for larger fairs and conferences.

What is B2B matchmaking?

B2B matchmaking means business meetings scheduled in advance between the participants of an event: everyone picks their partners, requests a meeting at a free time and comes to the reserved table.

Can the organizer schedule meetings on behalf of participants?

No. Participants request and accept their own meetings. The organizer sets the framework: the windows, the tables, who may ask whom and how many requests each person has.

How are overlaps and busy tables avoided?

The app does not allow anyone to have two meetings in the same slot, nor a table to be booked twice. Proposed times stay reserved while the request awaits an answer.

What happens if someone does not show up?

After the meeting time, either person can mark a no-show. No-shows appear in the report and in Excel, next to the confirmed meetings.

Can it be used for a business brokerage event or a trade fair?

Yes. Networking windows, tables and role-based rules (attendee, speaker, exhibitor) cover brokerage events and trade fairs; exhibitors and contact scanning at the stand are in the Pro plan.

How much do scheduled B2B meetings cost?

Nothing, up to 500 participants: 1:1 meetings are in the Free plan. Paid plans add capacity, exhibitors and contact scanning at the stand.
